Shipping & Librarian

Summary: Gather the necessary information and instructions for shipping samples and documentation required to the clients and ensure that all shipments are received at the specified destination. Essential Duties and Responsibilities include the following, but are not limited to:

• Print brief/project report of fragrances
• Prepare and print letters to clients
• Enclose all required documents (MSDS, COA, Marketing Presentation, etc.) as specified in the Brief Report & Project Report
• Create and label samples
• Print label for shipping (FedEx, UPS) including the schedule and special documentation required for international shipments
• Pack, ship, and create documents following regulations or carrier requirements
• Coordinate with freight carriers and forwarders for quotes, pickups, and claims
• Review freight bill and approve
• Immediately report any irregular problems with shipments to the Global Account Executive for resolution with the client
• Assist Global Account Executive with any information about deliveries to customers
• Generate pro forma commercial invoices as requested
• Research and try new carriers and negotiate freight rates and discounts
• Order shipping supplies
• Ensure that before the end of the day, all scheduled projects are sent and update shipping dates if necessary, for those not sent
• Add tracking number in briefs for future references • Perform other incidental and related duties as required and assigned

Requirement (s): 

• High school diploma or GED
• Six to one year of experience
