The Library Assistant supports library circulation and processing operations by assisting users in locating materials, updating library systems, and reshelving returned items, while also handling user account data and processing special material requests. Responsibilities include reference desk support, acquisition support, interlibrary loan fulfillment, and reference fulfillment. This role involves troubleshooting technical and bibliographic issues, maintaining both physical and electronic collections, and providing management with workflow recommendations. Responsibilities may be performed in a multi-tasking manner or as discrete tasks.

ESSENTIAL REQUIREMENTS

  • Must be able to obtain and maintain the required customer clearance for access to systems, facilities, equipment, and property.

  • Knowledge of library or information center operations.

  • Must possess strong written and verbal communication skills and excellent customer service skills.

  • Must possess demonstrated ability for high production and accuracy, and work independently while maintaining production standards.

  • Must be able to work under pressure and multi-task.

  • Must possess the ability to quickly learn new technical skills, procedures, and specialized software applications.

  • Working knowledge of the Microsoft Office suite.

KEY DUTIES AND RESPONSIBILITIES

Essential Duties and responsibilities include the following. Other duties may be assigned.

  • Supports library circulation and processing operations; assists users in locating materials and using library systems and tools.

  • Reshelves returned materials; updates the library information system.

  • Maintains user account data; processes special requests for materials.

  • Performs routine cataloging processes, provides copy cataloging, and edits existing MARC records.

  • Assists with maintenance of library databases, software, and systems; troubleshoots minor technical and bibliographic issues or refers them to technical staff.

  • Provides reference desk support, requiring knowledge of scientific and technical resources and online cataloging systems such as Horizon; verifies bibliographic information.

  • Provides Sequence Help Desk support, familiar with patent applications, patent prosecution, and USPTO sequence rules.

  • Provides acquisition support, places orders using an internal database, and verifies bibliographic information and formats.

  • Verifies electronic resource links, conducts physical collection maintenance, and performs serial check-ins.

  • Provides interlibrary loan and reference fulfillment support; quality checks completed work, researches difficult requests, and processes documents electronically.

  • Reviews Raw Sequence Listing reports for compliance with USPTO sequence rules and annotates errors.

  • Processes sequences for pre-grant publication and issuance; performs related quality control.

  • May perform clerical tasks related to book purchasing and payments.

EDUCATION AND EXPERIENCE

Associates degree, Bachelors preferred, and a minimum of one (1) year relevant experience and/or training, or equivalent combination of education/experience. 

PHYSICAL DEMANDS

Work is primarily performed in an office environment. Regularly required to sit. Regularly required use hands to finger, handle, or feel, reach with hands and arms to handle objects and operate tools, computer, and/or controls. Required to speak and hear. Occasionally required to stand, walk and stoop, kneel, crouch, or crawl. Must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, depth perception, and ability to adjust focus.  Exposed to general office noise with computers printers and light traffic.
