SUMMARY

The Library Assistant plays a vital role in supporting the daily operations of the school library, ensuring a welcoming and organized environment where students and staff can access resources, develop literacy skills, and foster a love of reading. This position also supports technology inventory processes and assists the certificated librarian with resource management.

 

ESSENTIAL RESPONSIBILITIES

  • Assist in the daily operation of the school library, ensuring a professional, positive atmosphere for students, staff, and visitors.
  • Greet and assist students, staff, and visitors with library inquiries and services.
  • Create a positive and welcoming library environment supportive of students.
  • Perform circulation duties, including checking materials in and out, managing overdue notices, and maintaining accurate records in the district library management system.
  • Maintain and manage library inventory, including cataloging, shelving, and auditing materials annually.
  • Maintain the school’s library database by entering, updating, and deleting records as needed; troubleshoot minor system issues.
  • Assist students in locating and using library materials effectively.
  • Process, organize, and label new library books and materials according to district standards.
  • Perform basic book repairs; escalate more complex repairs or potential discards to the building administrator or certificated librarian.
  • Order library books and materials in coordination with the certificated librarian.
  • Supervise and support student library helpers, keeping them engaged and on task.
  • Manage curriculum and technology inventory, including:
    • Checking out and collecting student technology devices.
    • Tracking damaged or missing equipment and initiating repair or replacement processes.
    • Following district protocols for inventory tracking, audits, and technology assignments.
  • Support the certificated librarian in all aspects of resource and technology management.
  • Supervise students during library access periods such as lunch and advisory periods.
  • Perform other duties as assigned.

 

QUALIFICATIONS

  • High school diploma or equivalent required.
  • Minimum of one (1) year of general office or clerical experience required; library experience preferred.
  • Ability to accurately type at least 40 words per minute.
  • Proficiency in basic computer applications, including Google Suite; experience with library management software and student information systems preferred.
  • Strong organizational and interpersonal communication skills.
  • Ability to work independently and collaboratively in a busy school setting.
  • First Aid/CPR certification preferred.

 

KNOWLEDGE & SKILL REQUIREMENTS

 

Knowledge of:

  • Basic library operations, organization systems, and common library software.
  • Microsoft Office and general office equipment.
  • Children’s and young adult books and other educational materials.
  • School policies for checking out books, using technology, and maintaining privacy.

 

Skills in:

  • Using library systems to check materials in and out and keep records accurate.
  • Helping students and staff find resources and use the library.
  • Staying organized, managing multiple tasks, and solving small tech issues.
  • Communicating clearly and working well with others.
  • Supervising student helpers in the library.

 

Ability to:

  • Keep the library clean, organized, and welcoming.
  • Work independently and follow routines.
  • Learn and use new tools or software.
  • Support positive student behavior and engagement.
  • Respect student privacy and handle information responsibly.
  • Stay flexible, patient, and positive with students and staff.

 

WORKING CONDITIONS

The Library Assistant works in a busy school library environment with frequent interaction with students, staff, and occasional visitors. The position requires regular movement, including standing, walking, bending, and lifting materials up to 30 pounds. Work is performed indoors in a fast-paced setting that may be noisy and require multitasking. The role follows the school calendar and generally includes only school-day hours, though occasional schedule adjustments may be needed for special events or library activities. Consistent attendance, attention to detail, and the ability to maintain a welcoming and organized space are essential.

TERMS OF EMPLOYMENT

Salary and work year are determined by the negotiated agreement and the needs of the District.

 

Verification of identity and United States work authorization must be completed before employment commences. The successful candidate for this position must complete a fingerprinted background check with the Washington State Patrol and the Federal Bureau of Investigation. Employment is contingent upon clearance of the background check.

PAID TIME OFF - All regular, non-substitute employees receive paid time off, including annual and/or vacation leave. Paid time off varies by position and work year. Refer to the applicable Collective Bargaining Agreement or salary schedule for details.
