The Cleveland Orchestra is seeking a Part-Time Youth Orchestra Librarian & Coordinator (25-29 hours per week), who will be responsible for the professional operation and maintenance of the Cleveland Orchestra Youth Orchestra (COYO)'s Music Library, providing administrative and day-to-day production support to the Youth Orchestra Manager as needed to ensure the professional operation of the Youth Orchestra, and for managing the Youth Orchestra Chamber Music Program.

The Youth Orchestra Librarian & Coordinator is also responsible for leveraging the relationship between The Cleveland Orchestra (TCO) and COYO by organizing masterclasses with TCO guest artists for COYO and other local students, collaborating on outreach programs, and liaising with departments such as Marketing and Philanthropy & Advancement to increase COYO presence across the institution. This role will also grow current COYO initiatives by expanding current offerings to better serve and educate the next generation of musicians. This role aims to shape the future of TCO audiences, donors, and the classical music industry as a whole.
  
Position responsibilities include the following:
ADMINISTRATIVE & PRODUCTION SUPPORT TO THE YOUTH ORCHESTRA MANAGER
  • Assist in organizing and running entrance, seating, and concerto competition auditions, serve as a public-facing COYO representative to answer student and parent questions during auditions;
  • Be present at all COYO rehearsals and concerts to support Manager and assist students—and occasionally manage rehearsals in the absence of the Youth Orchestra Manager—ensure musicians are on stage at the start of rehearsal and promptly return after breaks, supervise Youth Orchestra members on the bus to/from run-out concerts and tours, and assist in planning and support facilitation of COYO's annual fall retreat;
  • Maintain program and repertoire history, manage catering and lunch orders for COYO events, record accurate repertoire and personnel data in ArtsVision and Tessitura database systems.
YOUTH ORCHESTRA & CHAMBER MUSIC LIBRARY
  • Prepare music for the conductor(s) and musicians including accurately marking parts and scores with bowings, articulations, and rehearsal numbers/letters as needed, record archival copies of bowings after performances, scan and upload practice parts for Youth Orchestra members, catalogue new music purchases, copy and bind scores for the Music Director and guest conductors;
  • Provide library services at all Youth Orchestra rehearsals and performances, including distributing and collecting music folders and scores at Youth Orchestra events and addressing any music needs for Youth Orchestra conductors and members;
  • Prepare coach binders for Cleveland Orchestra coaches with scores and parts of COYO repertoire for each of the season’s concert cycles;
  • Maintain the COYO music library by erasing marks in music, ensuring all parts and scores are returned and re-filed after use, and returning rented music to the publisher in a timely manner, update repertoire history on an ongoing basis, and continually organizing the COYO library cabinets;
  • Communicate with constituents including Youth Orchestra Manager, Youth Orchestra Music Director, Cleveland Orchestra musicians, and Cleveland Orchestra librarians to facilitate smooth operation of the music library;
  • Prepare audition music for spring entrance auditions, seating auditions, and the concerto competition, update audition excerpts at the discretion of the coaches, prepare music binders for adjudicators at previously mentioned auditions;
  • Order music for purchase and/or rental as needed and as directed by Youth Orchestra Manager.
 
COYO CHAMBER MUSIC PROGRAM
  • Manage the COYO Chamber Music Program with weekly rehearsals, frequent coachings, and numerous performance opportunities throughout the COYO season;
  • Coordinate with EdCE, Artistic, and P&A for chamber performance opportunities at a variety of institutional events including:
    • Pre-Concert Performances for COYO Concerts in Severance (3)
    • Pre-Concert Performances for select TCO Subscription and Holiday Concerts
    • Gala & Season Announcements (if not full ensemble)
    • Community Engagement Events
    • Severance Restaurant Performances as requested
  • Ensure accurate program and ticketing information for COYO Chamber Music performances with the Box Office, Marketing, and Artistic;
  • Liaise with chamber music coaches to ensure scheduling and payroll information for all chamber music related events.
COYO/ARTISTIC INTERSECTIONAL PROGRAMS
  • Coordinate with Artistic to facilitate TCO guest artist masterclasses and coachings:
    • Coordinate opportunities for TCO guest artists to give masterclasses to COYO musicians and other local student musicians,
    • Facilitate coachings with guest artists for woodwind, brass, and percussion students,
    • Liaise with the box office and marketing to publicize our masterclass offerings and potentially ticket masterclasses;
  • Coordinate rehearsal and concert visits with living composers when COYO performs their work(s);
  • Foster TCO Composer-in-Residence collaboration with COYO in the form of performances of their work and composition seminars;
  • Facilitate masterclasses given by Cleveland Orchestra musicians at Kent State University.
MARKETING, PUBLIC RELATIONS, AND ALUMNI ENGAGEMENT
  • Manage COYO social media including Facebook, Instagram, and TikTok
    • Schedule recurring postings for auditions, concerts, and masterclasses
  • Liaise with TCO Media & Marketing and Web Team to ensure COYO details are accurate and up to date on all platforms
    • Coordinate posts on TCO social media, website, YouTube, and Adella
  • Work with the TCO publication team to increase COYO representation in TCO programs including:
    • Interviews between COYO members and TCO musicians/administrators
    • COYO stories and photos to supplement TCO programs
  • Serve as the coordinator for COYO Alumni Engagement:
    • Liaise with P&A to connect with COYO alumni,
    • Coordinate alumni events at COYO, TCO, and Blossom events,
    • Introduce COYO alumni to The Circle,
    • Facilitate COYO alumni merchandise,
    • Interview alumni to feature their success and stories in COYO and TCO publications.
  • Organize a music-centric College Fair for COYO members and families,
    • Liaise with music schools and conservatories and invite them to the college fair each spring.
    • Arrange a speaker session for school representatives to answer questions brought forth by COYO members and families.
The successful candidate will meet the following qualifications:
  • Bachelor’s Degree in Music Performance, Music Education, or Arts Administration with strong knowledge of orchestral repertoire.
  • Relevant experience in orchestral operations and concert production, preferably with touring experience. 
  • Requires a creative person with high energy who can be nurturing of students yet authoritative, and able to respond quickly and appropriately in stressful situations.
  • Computer knowledge required (Microsoft Office Suite)
  • Outstanding interpersonal and communication skills to successfully interact with multiple constituencies and diverse groups of people. 
  • Ability to quickly assess and resolve conflict in a professional, diplomatic manner.
  • Demonstrated independent, mature judgment; convey a professional image and attitude.
  • Strong administrative, organizational and detail-oriented skills. 
  • Experience playing a string instrument(s) is a plus.
  • Must be available for all weekend rehearsals and performances, COYO chamber and masterclass events, including outreach concerts, run-outs, Martin Luther King Community Open House, side-by-side rehearsal, and the annual fall retreat.
