Job Description
To perform specialized library work in specific area(s) involving patron or technical services or specialized collections; perform related work.
Performs advanced paraprofessional library work in acquisitions and collection management in the Eli M. Oboler Library on the Pocatello campus of Idaho State University. Responsibilities include bibliographic verification, procurement, fiscal oversight, and database maintenance. Provides lead support in a specialized library function and performs related duties to ensure efficient and accurate acquisition of library resources.
This position is not eligible for new visa sponsorship at this time. Candidates who already hold valid U.S. work authorization may be considered.
Key Responsibilities
A. Acquisitions and Ordering
-Receive and process monographic material requests
submitted by bibliographers through vendor platforms, email, and other
channels.
-Track and manage requests in
accordance with departmental procedures.
-Perform bibliographic
verification to prevent duplication and ensure accuracy of orders.
-Determine appropriate formats
and acquisition methods, including print, electronic resources, serials,
standing orders, and new editions.
-Identify the most cost-effective
sources for acquiring library materials.
-Place orders using the
integrated library system (ILS), vendor systems, or university-approved
purchasing methods.
-Communicate
with vendors and publishers to obtain pricing, availability, and
bibliographic information.
B. Cataloging Support and
Bibliographic Record Management
-Search national and international bibliographic
databases to obtain accurate catalog records.
-Import and edit records within
the ILS to support ordering and holdings information.
-Verify
publication details such as author, title, publisher, edition, and ISBN.
C. Receiving and Invoice Processing
-Verify and receive incoming materials, ensuring accuracy
and condition.
-Process invoices and maintain
financial records within the ILS.
-Import electronic invoices and
reconcile discrepancies with vendors.
-Coordinate payments through
university financial systems in accordance with institutional policies.
-Maintain
accurate documentation for auditing and compliance purposes.
D. Financial Oversight and Reporting
-Internally monitor acquisitions budgets and ensure
expenditures align with allocated funds.
-Enter and maintain fund
allocations as directed by library administration.
-Prepare financial and
statistical reports, including fund summaries and expenditure analyses.
-Assist with fiscal year opening
and closing procedures.
-Reconcile
vendor statements and resolve discrepancies.
E. Systems and Technical Support
-Troubleshoot issues related to the integrated library
system and acquisitions workflows.
-Collaborate with vendors,
campus IT personnel, and library systems staff to resolve technical
problems.
-Maintain and update acquisitions
data within library systems.
-Develop
and document procedures to improve efficiency and accuracy.
F. Collection and Vendor Management
-Monitor vendor accounts and outstanding orders.
-Submit claims for delayed
materials and manage cancellations or replacements.
-Maintain effective
relationships with publishers, vendors, and subscription agents.
-Ensure
compliance with university procurement policies and licensing agreements.
G. Service and Professional
Engagement
-Participate in library committees, task forces, and
professional activities.
-Attend departmental and
library-wide meetings.
-Support the mission and
strategic goals of the library and university.
-Perform other duties as
assigned.
Minimum Qualifications
Experience
in at least two (2) of the following areas:
-Bibliographic search strategies.
-Library classification schemes and descriptive cataloging standards.
-A variety of bibliographic sources and reference tools used in cataloging and acquisitions.
-Library organization, services, technical service practices and terminology.
-Library automation.
Experience:
-Coordinating, planning, and organizing library activities.
-Using computer applications software.
-Training or instructing others in library practices and procedures.
-Compiling and analyzing information, and writing reports or procedures in a library work setting.
Specialty Requirements
-Some positions at ISU may require experience in complex technical services work such as original cataloging, vendor selection, or ordering and receiving library materials, etc.
ISU minimum for this classification is $19.01/hour, commensurate with education and experience. To be considered for this opportunity, apply on or before June 21, 2026.
